Privacy Policy
Last updated: June 1, 2026
At Agendica, we take your privacy seriously. This Privacy Policy outlines how we collect, use, maintain, and disclose information collected from users of our platform.
1. Information We Collect
We collect information you provide directly to us when you create an account, build an event profile, subscribe to our newsletter, or communicate with us. The types of personal information we may collect include:
- Account Information: Your name, email address, password, and security preferences like Two-Factor Authentication settings.
- Profile Information: Professional details, avatars, or links you choose to share publicly on your profile.
- Event Data: Details about the events you organise or attend, including schedules, RSVPs, and locations.
2. How We Use Your Information & Legal Basis
We use the information we collect to operate, maintain, and provide you with the features and functionality of the Agendica platform. Under the General Data Protection Regulation (GDPR) and similar laws, our legal bases for processing your data include:
- Contractual Necessity: To facilitate account creation, authenticate users, and provide core event management services.
- Legitimate Interests: To monitor and analyse account health to protect against malicious behaviour, and to improve our platform.
- Consent: Where you have explicitly opted in, such as subscribing to marketing newsletters.
3. Cookies and Tracking Technologies
Agendica uses cookies strictly necessary for the operation of the platform, such as managing your authentication sessions and security preferences (like Two-Factor Authentication). We do not currently use third-party analytics cookies or tracking pixels for targeted advertising. If we implement analytics in the future to understand platform usage, we will ask for your explicit consent where legally required.
4. Information Sharing and Third-Party Services
We do not sell, trade, or rent your personal identification information to others. However, to provide our services, we share data with trusted third-party categories:
- Cloud Hosting & Infrastructure: To securely host our application and database.
- Email Service Providers: To send transactional emails (like password resets and event notifications).
We ensure all third-party providers comply with strict data protection standards and only process data according to our instructions.
5. International Data Transfers
As our platform and third-party service providers may operate globally, your information may be transferred to, and processed in, countries outside of your residence. When such transfers occur, we rely on established legal frameworks, such as Standard Contractual Clauses, to ensure your data maintains an adequate level of protection.
6. Data Retention
We retain your personal data only for as long as is necessary for the purposes set out in this Privacy Policy. Account information is kept until you choose to explicitly delete your account. Upon account deletion, your personal data is removed from our active systems. Please note that any historical references regarding your participation in or organisation of events may be retained for operational and record-keeping purposes. Residual data may also remain in secure, encrypted backups for a limited period before being permanently destroyed.
7. Security of Your Information & Breach Notification
We use standard industry practices (such as secure hashing and encryption) to protect your personal data. We implement resilient security measures to maintain the safety of your information when you enter, submit, or access it. While no online service is 100% secure, we work continually to protect your account and data integrity through robust features like multi-factor authentication. In the unlikely event of a data breach that compromises your personal information, we are committed to notifying affected users and applicable regulatory bodies within 72 hours of becoming aware of the incident, as required by law.
8. Your Rights and Choices
Depending on your location, you may have rights regarding your personal data, including the right to access, correct, restrict processing, or delete your information. Under GDPR, you also have the right to data portability, allowing you to request a machine-readable export of your personal data. You can manage most of your profile settings directly inside your account dashboard, including permanently deleting your account and all associated data in the Privacy section. If you wish to exercise your right to data portability, please contact us.
9. Children's Privacy
Agendica is not directed to individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we become aware that we have collected personal data from a child under 16 without parental consent, we will take steps to remove that information and terminate the associated account.
10. Changes to This Privacy Policy
Agendica has the discretion to update this privacy policy at any time. When we make material changes to this policy, we will notify you via email or through an in-app notification before the changes take effect. We will also revise the "Last updated" date at the top of this page.
